Booking Terms & Conditions
Welcome to Petnah Africa Tours and Travel. By making a booking with us, you agree to the following Terms & Conditions.
These terms explain how bookings, payments, cancellations, and related travel services are handled. If you have any questions, please contact us before confirming your reservation.
1. Booking Confirmation
A booking is considered confirmed only after:
- the required deposit or payment has been received; and
- a written confirmation or receipt has been issued by Petnah Africa Tours and Travel.
All tours, accommodations, flights, permits, and other travel services are subject to availability at the time of booking.
2. Payment
- Full payment is required at least 30 days before the departure date.
- For bookings made within 30 days of departure, full payment is required at the time of booking.
- Payment instructions and accepted payment methods will be provided during the booking process.
3. Changes to Bookings
Any request to change a booking must be made in writing and may be subject to additional fees, supplier charges, or availability.
While we will do our best to accommodate requested changes, we cannot guarantee that all amendments will be possible once reservations have been confirmed.
4. Cancellation Policy
The following policies apply to all confirmed bookings made by the client:
- Cancellations received within 30–10 days before departure will incur a 25% cancellation charge.
- Cancellations received within 9–2 days before departure will incur a 50% cancellation charge.
- Cancellations received less than 48 hours before departure will incur a 100% cancellation charge.
- No-shows without communication during the entire safari or travel period will be charged 100%.
- Cancellations of bookings during peak seasons (June–September, December–January, and festive periods) received within 60 days of departure will incur a 100% cancellation charge.
- Refunds for eligible cancellations will be processed within one month using the original payment method whenever possible.
- All cancellations must be submitted in writing via email to our reservations or tours manager.
5. Travel Insurance
We strongly recommend that all travellers obtain comprehensive travel insurance covering trip cancellations, medical emergencies, delays, baggage loss, and other unforeseen circumstances.
6. Itinerary Changes
Every effort is made to operate itineraries as confirmed.
However, we reserve the right to make reasonable changes to routes, accommodations, transportation, or activities when necessary due to weather conditions, operational requirements, supplier availability, safety concerns, or other circumstances beyond our control.
Where possible, we will provide a suitable alternative and notify you promptly.
7. Third-Party Services
To deliver your travel arrangements, we work with airlines, hotels, lodges, transport providers, guides, and other trusted third-party suppliers.
Although we carefully select our partners, certain services are provided by independent suppliers and remain subject to their own terms and conditions.
8. Privacy
We respect your privacy and only collect and process personal information necessary to provide our services and manage your booking. For more information about how we collect, use, and protect your data, please see our Privacy Policy.
9. Governing Law
These Terms & Conditions are governed by the laws of Uganda. Any disputes arising from your booking or use of our services shall be subject to the jurisdiction of the courts of Uganda.
Final Note
Travel sometimes involves circumstances beyond anyone’s control, and flexibility can occasionally be necessary.
